If your team works all day in Outlook, Teams, Word and Excel, start with Microsoft Copilot, because it works inside those apps on the files and emails each person can already open. If your team’s hardest work is long documents, careful writing and analysis, Claude is the strongest fit. If you want one flexible assistant that also makes images and connects to both Google and Microsoft tools, choose ChatGPT. Many teams end up with two: Copilot for the Microsoft 365 apps, plus ChatGPT or Claude for deeper work.

On price and privacy the three are closer than most comparisons suggest. The standard business seats for ChatGPT and Claude are both published at US$20 per user a month billed annually, Microsoft 365 Copilot Business is listed at US$21, and all three say they do not train their models on your business data by default. So the choice comes down to where your team works and what it works on.

We teach all three to teams in Singapore at HighSpark, in our ChatGPT course, Claude training and Microsoft Copilot training. This guide is the advice we give managers who ask which one to buy.

Prices, plans and features in this article are correct as of 19 October 2026. All three products change monthly, so check the vendor’s page before you buy.

The short answer: use X when…

Use thisWhen
Microsoft CopilotYour company runs on Microsoft 365, and most of the work is email, meetings, Word documents, Excel files and PowerPoint decks that live in SharePoint and OneDrive
Microsoft CopilotIT needs one admin, permissions and compliance model (Microsoft 365 admin center and Purview) for everything
ClaudeThe hard part of the job is reading and writing: long reports, contracts, policies, proposals, research
ClaudeYou want staff who are not developers to build small tools and automations, or developers to use Claude Code
ChatGPTYou want one general-purpose assistant that covers writing, analysis, images, voice and research for a mixed team
ChatGPTYour team uses Google Workspace, Slack or a mix of tools rather than only Microsoft 365
ChatGPTYou need images for decks, posts and internal comms made in the same tool
Two toolsYou are on Microsoft 365 but a group of heavy users (analysts, writers, marketers, product) needs more than the in-app assistant

Two details matter more than the headline price:

  • Microsoft’s price sits on top of Microsoft 365. Copilot Business and the Copilot add-on both need a qualifying Microsoft 365 plan. If you already pay for Microsoft 365, the add-on is the only new cost. If you do not, Copilot is the most expensive of the three.
  • Claude Enterprise is priced differently. The seat is $20, but usage is billed on top at API rates, so the monthly bill depends on how much your team uses it and which models they pick. ChatGPT Enterprise has no published price at all. Budget for both with a pilot, not a list price.

Correct as of 19 October 2026. Features differ by plan and by what your admin turns on.

One change most older comparisons miss: Copilot is no longer only OpenAI’s models. Microsoft now offers Anthropic’s Claude models inside Copilot, including in Researcher, Copilot Studio, Copilot in Excel and Copilot in PowerPoint, and turns them on by default for most commercial customers outside the EU, EFTA and UK. Your admin can switch them off, and Microsoft notes that Anthropic models are excluded from its in-country processing commitments. So “Copilot vs Claude” is partly a question of which app you work in, not only which model answers.

Which is best for writing, analysis and long documents?

Writing quality. All three write a competent first draft. The difference shows when the brief is long and specific: a proposal with five constraints, a policy that must keep a legal meaning, a message in your company’s voice. Test with your own brief rather than a demo prompt, and judge the draft on how many edits it needs before you would send it. Our Claude training includes a module on drafting, critiquing and rewriting in a team’s voice, and the same method works in all three tools.

Long documents. The published numbers favour Claude: up to 1 million tokens on its newest models on paid plans, against 256K on ChatGPT’s reasoning models and 54K on its fast models on Business. Microsoft publishes no limit for Copilot and advises that long files can get less attention in the middle. For a 200-page tender or a stack of contracts, start with Claude or ChatGPT’s reasoning models, and ask every tool to quote the page it took each point from.

Spreadsheets. Copilot in Excel works inside the open workbook: it writes formulas, builds charts and PivotTables and edits the file directly, as long as the file is .xlsx and calculation is set to Automatic. ChatGPT and Claude analyse an uploaded file, and both now have Excel add-ins too. Whichever you use, check the data before you analyse it and the numbers before they go into a report. Both checks are exercises in our AI at Work workshop.

Which should you use for common tasks?

These are the tasks managers ask us about most. The pick assumes you have business plans for the tools named.

For presentations, our two guides go deeper: how to use ChatGPT to make a presentation covers the story half, and Copilot in PowerPoint covers building in your template.

Data and privacy: what the business tiers promise

All three vendors make the same core promise for business accounts: your prompts and files are not used to train their models by default. The differences are in the detail.

  • ChatGPT Business and Enterprise. OpenAI says it does not use your business data for training by default, that you own your inputs and outputs, and that workspace admins control how long data is kept. Data from connected apps is also not used for training by default on these plans.
  • Claude Team and Enterprise. Anthropic says it does not use chats from these plans for training unless you choose to share them, for example through feedback. Enterprise adds audit logs, custom retention and a compliance API.
  • Microsoft Copilot (work accounts). Prompts, responses and Microsoft Graph data are not used to train foundation models. Copilot respects existing permissions and sensitivity labels, so it can only show a person what they could already open. Web searches go to Bing with user and tenant identifiers removed.

The risk to plan for is different with each. With Copilot, the main risk is oversharing: if a salary file is open to the whole company in SharePoint, Copilot can surface it. Fix permissions before rollout. With ChatGPT and Claude, the main risk is staff using personal accounts, where the business-tier promises do not apply. Free and individual paid plans on both can use chats for training unless the user opts out. Give people an approved business account and a one-line rule on what never to paste in.

Can we use more than one?

Yes, and many organisations do. The common pattern is Copilot for everyone on Microsoft 365, because Copilot Chat is included at no extra cost with eligible plans and the in-app assistant fits daily email and meetings, plus a smaller group of paid ChatGPT or Claude seats for heavy users.

Two tools work when you set three rules:

  1. Which tool for which job. Write it down, for example: “Outlook and Teams: Copilot. Long documents and proposals: Claude. Images: ChatGPT.”
  2. Where files may go. Approved business accounts only, and the same data rules for every tool.
  3. Who owns the prompts. Keep shared prompts and instructions in one place (Copilot agents, ChatGPT GPTs or projects, Claude Projects) so good work does not stay in one person’s chat history.

Three tools for everyone is rarely worth it. The cost adds up, and people spend more time choosing a tool than using one.

Training your team in Singapore

Every one of our gen AI courses runs as a half day, full day or two days, hands-on, with fictional or non-confidential files so nobody has to share company data.

  • Microsoft Copilot training: Copilot in Word, Excel, PowerPoint, Outlook and Teams, usually in your own Microsoft 365 tenant.
  • Claude training: Projects for shared context, long-document work, drafting in your team’s voice and Claude Code for non-developers.
  • ChatGPT course: prompting, images for work, custom GPTs, data analysis and small tools built with Codex.
  • AI at Work: for teams that use more than one tool, or are unsure which tool suits which task. It covers prompting with your own context, checked data work and one workflow rebuilt as a reusable skill.

Frequently asked questions

Is Claude better than ChatGPT for work?

Claude is better for long documents and careful writing; ChatGPT is better as an all-round assistant. Claude’s newest models accept up to 1 million tokens on paid plans, while ChatGPT adds image generation, voice and a wider set of app connections. Their business seats are published at the same price.

Is Copilot the same as ChatGPT?

No. Microsoft Copilot is Microsoft’s assistant built into Word, Excel, PowerPoint, Outlook and Teams, and it works on your company’s files and emails within your permissions. ChatGPT is OpenAI’s standalone assistant. Copilot now also offers Anthropic’s Claude models alongside OpenAI’s for some features.

Is Microsoft Copilot free for business?

Copilot Chat is, if your organisation has an eligible Microsoft 365 plan. Copilot inside Word, Excel, PowerPoint and Outlook with your work data needs a paid licence: Microsoft 365 Copilot Business lists at US$21 per user a month for up to 300 users, and the add-on for larger organisations is US$30, both annual and both on top of Microsoft 365.

Does ChatGPT or Claude use our company data for training?

Not on business plans by default. OpenAI says this for ChatGPT Business and Enterprise, and Anthropic says it for Claude Team and Enterprise. Free and individual paid plans are different: chats can be used unless the user opts out, so keep company work on business accounts.

Which AI tool is best for Excel?

Copilot in Excel, if your files live in Microsoft 365, because it edits the open workbook directly with formulas, charts and PivotTables. ChatGPT and Claude both offer Excel add-ins and can analyse uploaded spreadsheets. Check every result before it goes into a report.

Can Claude generate images?

No, not photos or illustrations. Anthropic says Claude can make diagrams and visuals with code such as HTML and SVG, and it can read images you upload. For images, ChatGPT or Copilot are the better fit.

Are ChatGPT, Claude and Copilot available in Singapore?

Yes, all three. Singapore is on OpenAI’s and Anthropic’s supported lists, and Microsoft sells Copilot Business on its Singapore site. Only ChatGPT Enterprise publishes an option to store data in Singapore.

Can we use Copilot and ChatGPT or Claude together?

Yes. A common setup is Copilot for everyone on Microsoft 365, plus ChatGPT or Claude seats for heavy users. Write down which tool is for which job and apply the same data rules to all of them.

There is no single best AI tool for work. There is a best fit for where your team works and what it works on. Start with the tasks, pilot on real work, and train people on their own files. If you would like help choosing or rolling out, see our generative AI training or start with AI at Work.
